Before creating the appointment the system checks the slot has room. And if two requests land at the same moment it counts again before confirming: two patients do not slip into the same slot because of a few milliseconds.

The calendar is configured from the dashboard, with no code.
- The business time zone.
- Appointment length: 30 minutes by default, anywhere from 5 to 480.
- How many people can hold the same slot at once.
- Opening hours per day of the week.
It talks the way patients talk
It understands “tomorrow at three”, “next Wednesday at ten” or “7am” without asking for a date format.
And it can answer whether a particular day has openings — reading out the free times — without booking anything yet, which is what people actually ask before they commit.
What it does not know, it does not invent
The agent is instructed to say it does not have the answer when a question goes beyond its knowledge, and to offer to have someone on the team look at it.
It can escalate the conversation to a person at the practice and email the account owner with the patient’s details and the reason.
A knowledge base shaped like a clinic
The knowledge base ships with the structure a clinic needs: services with their price, their length and any preparation required, plus hours, practitioners and terms.
You write it once and all three channels use it: phone, WhatsApp and your web chat.
Patient data, with published timescales
There is a documented way to request deletion, with a permanent section and anchor in the privacy policy.
The list of providers involved is audited against the code rather than copied from a template, and it separates those that process data from those that do not.
Text conversations close themselves after 30 minutes of inactivity and generate their summary for the record.
The Terms commit to 99.5% monthly availability.
What it does not do yet
Said before you ask:
- It does not connect to practice-management software or medical records yet: the calendar and the records live in Vondia.
- It gives no medical advice and does not interpret symptoms. If a question goes that way, it says so and flags your team.
- It does not warm-transfer the call to the practice; it leaves the context behind.
- It does not replace your own duty to inform patients about how their data is handled: you sign that, and we give you the processing agreement in writing.

What if a patient wants to move or cancel?
The conversation is linked to their record with their phone number, so your team has the context to handle it. Automatic rescheduling is something we look at case by case in the demo.
Can I have different lengths per service?
The default length is set per business, between 5 and 480 minutes, and each service in the knowledge base carries its own duration.
What happens to what a patient tells you on WhatsApp?
Every business is walled off from every other and retention periods are published. We also sign a data processing agreement with you.
